How many guests can your facility seat?

Bluebonnet Ballroom I&II can seat up to 800 theater style and 500 reception style. Wildflower meeting room can seat up to 75 theater style and 75 reception style. We have a variety of rooms in between those sizes listed above, please refer to our Room Capacity Chart for all of our rooms’ capacity lists.

May I bring my own food or an outside caterer?

Yes! You may bring in your own food or use an outside caterer. We do charge $1.50 per person for the use of our full catering kitchen and to cover our clean up after the event. Food is not permitted to be cooked in our kitchen, only warmed or assembled.

What additional costs do I face?

We do charge a catering fee of $1.50 per person to bring in food. For groups larger than 250, we also require a cleaning fee, fees are assessed based on the type of event and amount of guests. Equipment and lease fees may include 6% sales tax. Midlothian Conference Center management may require Midlothian police officers and/or crowd control personnel at the guest’s expense.

What are my hotel options?

Midlothian Conference Center has an on-site Courtyard by Marriott hotel. Advanced room reservations are recommended. Contact the hotel at https://www.marriott.com/hotels/travel/dalcd-courtyard-dallas-midlothian-at-midlothian-conference-center/ or 469-672-8760 .

May I decorate the room?

You may only use free standing décor in the Midlothian Conference Center. Nothing may be affixed to any walls, windows, curtain rods, or other building surfaces. No nails, pins, tape, glue, adhesive, confetti, sparklers, rice, sawdust or glitter is permitted. You are responsible for any damages to the facility and removal of all decorations, materials, trash, residue etc., after the event. Midlothian Conference Center will provide trash cans. Decorations causing a high volume of trash and debris are subject to clean up charges.

What does the room fee include?

The lease fee covers rental of the room, tables and chairs, custom floor plan, and set-up and tear down of the room.

Will you hold a date? How do I secure a date?

Reservations are taken on a first-come, first-served basis. A non-refundable deposit and a signed contract are required to secure a date on our books. Submit a Request for Proposal for your event.
